Cleaning Invoice: How to Bill Cleaning Services (Free Template)
Updated
Whether you clean homes, offices or holiday rentals, clear invoices keep recurring clients happy and make sure every visit, extra and supply gets paid for. This guide covers what to include, how to bill per visit or monthly, how to charge for extras and cancellations, and gives a complete cleaning invoice example.
The short answer
A cleaning invoice should include:
- Your business name, logo and contact details
- The client's name and the property address
- An invoice number and date
- The date of each visit, or the billing period
- The service for each visit and any extras
- Supplies, if you bill them separately
- The total, the due date and how to pay
Per visit or monthly invoicing
| Type of client | How to invoice | Payment terms |
|---|---|---|
| One-off clean (deep clean, move-out) | One invoice after the job | Due on the day or on receipt |
| Recurring home client | Per visit, or weekly/monthly listing every visit | Due on receipt or within 7 days |
| Commercial contract | One monthly invoice with all visits | Net 15 or Net 30 |
| Holiday rentals | Monthly invoice listing each turnover by date | Net 7 or Net 15 |
For recurring clients, an account helps: with a free invoices.net account your customers are saved, so each new invoice starts with their details filled in.
Showing your prices and extras
Use the same pricing you quoted, and keep extras on their own lines so the client sees exactly what was added:
- Flat rate per visit: visits as the quantity, your price per visit as the rate.
- Hourly: hours × hourly rate, with the date.
- By property size: the package name, for example "Deep clean, 3-bed house".
- Extras: inside oven, inside fridge, interior windows, laundry, carpet spot cleaning.
- Supplies: only if billed separately, for example restocking paper towels and soap.
Before the first job, send a quote with your prices, so the invoice holds no surprises.

Cancellations, supplies and access
Cancellations and lockouts. If you charge for late cancellations or for arriving and being unable to get in, put the policy in your service agreement and in the invoice terms, for example "Cancellations with less than 24 hours' notice are charged at 50%". When it happens, add the fee as its own line with the date.
Supplies. Say in your quote whether supplies are included. If the client asks for special products, bill them separately at cost or with an agreed markup.
Access and notes. Use the invoice notes for anything both sides should remember, such as a key code change or a schedule change, but never write alarm codes or key locations on an invoice.
Tips for cleaning businesses
- Invoice right after the visit, from your phone, before you drive to the next job.
- Batch recurring clients into one weekly or monthly invoice to save time.
- Offer card payment. Clients pay faster when it takes one click.
- Use a work order to give your team the checklist for each property.
- Send a receipt when clients pay in cash.
- Follow up on the due date. With a free account you can email invoices and see when they've been opened.
Frequently asked questions
What should a cleaning invoice include?
Your business name and contact details, the client's name and the property address, an invoice number and date, the date of each visit or the billing period, the services (regular clean, deep clean, extras), any supplies billed, the total, the due date and how to pay.
Should I invoice cleaning clients per visit or monthly?
Per visit suits one-off jobs and occasional clients. For recurring clients, a weekly or monthly invoice listing every visit is easier for both sides. Commercial clients usually prefer one monthly invoice.
How do I price cleaning on an invoice?
Use whatever you quoted: a flat rate per visit, hours × hourly rate, or a price based on the size of the property. Add extras such as inside the oven, inside the fridge or interior windows as separate lines.
Should I charge for cleaning supplies?
Most residential cleaners include supplies in their price. If the client asks for specific products, or for commercial jobs where you restock paper and soap, add supplies as a separate line.
How do I charge for a late cancellation?
If your terms include a cancellation fee, for example 50% of the visit price for cancellations with less than 24 hours' notice, add it as its own line with the date. Only charge it if the client agreed to those terms in advance.
Do cleaning services charge sales tax?
It depends on where you work. Some states and countries tax cleaning services, sometimes only commercial cleaning, and many don't. Check your local rules or ask an accountant.
When should cleaning clients pay?
For homes, payment on the day of the visit or within 7 days is common. For commercial contracts, Net 15 or Net 30 after a monthly invoice. Recurring clients often pay by card or bank transfer automatically.
Can I make a cleaning invoice for free?
Yes. Fill in the free invoice template on invoices.net, list the visits and extras, and download a PDF or send it from your phone. No sign-up needed.
