Consulting Invoice: How to Bill Hours, Days, Retainers and Expenses
Updated
Consulting clients are usually companies with accounts teams, approval steps and purchase orders. A clear, complete invoice gets through that process quickly; a vague one gets stuck. This guide shows how to bill hours, day rates, retainers and project fees, how to handle expenses and POs, and gives a full consulting invoice example.
The short answer
A consulting invoice should include:
- Your business name, contact details and tax number if registered
- The client's company name, address and the person who approves it
- An invoice number, date and the billing period
- The client's PO or contract number
- Your services: hours or days × rate, retainers or fixed fees, with clear descriptions
- Reimbursable expenses as separate lines
- The total, the due date and how to pay
Consulting billing models
| Model | Best for | On the invoice |
|---|---|---|
| Hourly | Ad-hoc advice, open-ended scope | Hours × hourly rate, per task or per week, with a timesheet if requested |
| Day rate | Workshops, on-site work, interim roles | Days × day rate, with the dates worked |
| Retainer | Ongoing advisory, fixed monthly hours | One line per month, invoiced in advance, extra hours billed separately |
| Project fee | Defined deliverables: a report, a strategy, an audit | The fee, or a milestone share of it, e.g. "Phase 1 of 3: discovery, 30%" |
| Value-based | Outcomes with clear business value | The agreed fee for the outcome, often split into milestones |
Whatever model you use, it should match your proposal or quote and contract. For hourly work, a timesheet attached to the invoice answers most questions before they're asked.

Writing line items clients approve
Your invoice is often read by someone who wasn't in the meetings. Help them approve it:
- Name the work, not just the hours: "Supplier contract review and recommendations" rather than "Consulting".
- Add dates for days and workshops, and the billing period for the whole invoice.
- Match the proposal's wording, so line items map to what was approved.
- Separate retainer hours from extra hours, so the client sees what's outside the agreement.
- Reference the PO and contract on every invoice.
Expenses
Bill only the expenses your contract allows, such as travel, accommodation, research databases or third-party fees. Put each on its own line, mark it "at cost" if you don't add a fee, keep the receipts, and attach copies if the client asks. If expenses are large, agree on a cap or get approval before spending.
Getting paid by large companies
- Get set up as a supplier early. Many companies need tax forms and bank details before your first invoice can be paid.
- Get the PO first, and quote it exactly.
- Send invoices to the address they ask for, often an accounts payable mailbox, not your contact.
- Invoice on the same day every month, so it fits their payment runs.
- Agree on terms upfront: Net 30 is standard, but some companies default to Net 60 or longer unless you ask.
- Follow up politely on the due date, with the invoice and PO number in the subject line.

Frequently asked questions
What should a consulting invoice include?
Your business details, the client's company and contact, an invoice number and date, the billing period, the client's PO or contract number, your services as hours, days or fixed fees with clear descriptions, reimbursable expenses, tax if you are registered, the total, the due date and payment instructions.
Should consultants bill hourly or by project?
Hourly or daily billing suits open-ended advice and changing scope. Project fees suit clearly defined deliverables and reward efficiency. Retainers suit ongoing advisory work. Many consultants combine them, for example a monthly retainer plus extra hours.
How often should a consultant send invoices?
Monthly is most common for ongoing work, with the billing period shown on the invoice. For projects, invoice at milestones or on completion. Retainers are usually invoiced at the start of each month.
How do I bill expenses to a client?
Only bill expenses your agreement allows. Add each one as its own line, such as "Travel to client site (at cost)", keep the receipts, and attach copies if the client requires them. Agree upfront whether you bill at cost or with a handling fee.
Do I need a PO number on my invoice?
If the client gave you one, yes. Many companies cannot pay an invoice that doesn't quote a valid purchase order number, and it is the most common reason consulting invoices are delayed.
How do I invoice a client in another country?
Invoice in the currency agreed in your contract and include your bank details for international transfers. Tax rules for cross-border services vary: in many cases business-to-business services are not taxed by you but reverse-charged by the client. Check your local rules.
What payment terms do consultants use?
Net 30 is standard with companies, though some require Net 45 or Net 60. For smaller clients, Net 14 is common. Agree on terms in your contract and write the exact due date on every invoice.
Can I make a consulting invoice for free?
Yes. Fill in the free invoice template on invoices.net with your rates and the billing period, and download a PDF. No sign-up needed.
